This policy applies to our website, quotations, bookings, inspections, Reports, customer support, invoices and related communications.
2. Personal data we may collect
Depending on how you interact with Fedari, we may collect:
- Identity and contact data, such as name, company name, email address, telephone number and WhatsApp number;
- Booking and Property data, such as location, unit number, development, developer, property type, size, bedroom count, furnished status, occupancy, access details and inspection requirements;
- Contract and payment data, such as quotation acceptance, invoice details, payment status, transaction reference and limited payment metadata received from a payment provider. Fedari does not need to store full card details when payment is handled by an external payment provider;
- Inspection data, including field notes, defect descriptions, measurements, voice notes, photographs, video, annotations, technical observations and the final Report;
- Communications, including email, phone, WhatsApp, form submissions, complaints and customer-support records;
- Website and device data, such as IP address, browser, device type, referring page, pages visited, approximate location, cookie choices and analytics events; and
- Information supplied by a representative, broker, developer, building manager, owner, occupier or other person arranging access on your behalf.
We do not intentionally request passports, Emirates IDs, bank statements, medical information or other highly sensitive personal documents for an ordinary inspection. Please remove or cover such materials, as well as private family photographs, before the inspection. If sensitive information is incidentally captured in a Property photograph, we will restrict its use and remove or obscure it where reasonably necessary for the Service.
3. How we collect personal data
We collect data directly from you when you submit an enquiry, request a quotation, accept a booking, make payment, communicate with us or attend an inspection. We also collect data during the inspection, automatically through permitted website technologies, and from persons you authorise to coordinate the Property or access.
4. Why we use personal data
We may process personal data to:
- Respond to enquiries and prepare quotations;
- Verify the Property, scope, access and booking requirements;
- Form and administer the Service contract;
- Schedule and perform inspections;
- Create, quality-check, deliver and support Reports;
- Communicate about access, payment, safety, findings, complaints and reinspections;
- Issue invoices, process and reconcile payments and maintain accounting records;
- Prevent fraud, misuse, security incidents and unlawful activity;
- Establish, exercise or defend legal rights and respond to authorities where required;
- Improve our inspection methods, reporting quality, website and customer service using de-identified or appropriately protected information; and
- Send marketing only where we have the consent or other lawful basis required by applicable law.
We rely, as applicable, on your consent, steps requested before entering a contract, performance of the contract, compliance with legal obligations, protection of legal rights and other lawful grounds recognised under applicable UAE data-protection law. You may withdraw consent where processing is based on consent, but withdrawal does not make earlier lawful processing invalid and may not affect processing required for the contract or by law.
5. Property photographs, recordings and AI-assisted tools
Inspection photographs and, where required by the agreed scope, video or voice notes are used to document Property conditions and prepare the Report. The client is responsible for informing occupants and obtaining any permission reasonably required for Fedari to enter and record the Property.
Fedari may use secure cloud, reporting, transcription and AI-assisted tools to organise evidence, draft defect descriptions, support classification and perform quality checks. A human remains responsible for reviewing the final Report. We do not make decisions producing legal or similarly significant effects about clients solely through automated processing.
Fedari will not use identifiable client or Property data for public marketing or unrelated external AI-model training without a lawful basis and, where required, separate permission. We may use properly de-identified observations for internal quality assurance, analytics, training and service improvement.
6. Who may receive personal data
We share only what is reasonably necessary with:
- Fedari employees, inspectors and authorised contractors who need the information to provide the Service;
- Hosting, website, email, communications, cloud-storage, reporting, analytics, payment, accounting, transcription and IT-security providers acting for us;
- A developer, building manager, owner, occupier, broker or access coordinator where needed to arrange the inspection or where you ask us to send or discuss the Report;
- Professional advisers, insurers, auditors or debt-recovery providers where reasonably necessary;
- Courts, regulators, law-enforcement bodies or government authorities where required or permitted by law; and
- A purchaser or successor in a genuine business reorganisation, subject to appropriate confidentiality and legal safeguards.
We do not sell personal data.
7. International data transfers
Some technology and service providers may process or store data outside the UAE. Where personal data is transferred internationally, Fedari will use a transfer basis, contractual protection or other safeguard required by applicable UAE law. We will take reasonable steps to ensure the recipient protects the data consistently with this policy and applicable law.
8. Retention
We retain personal data only for as long as reasonably necessary for the purpose collected, the Service, legal compliance, accounting, dispute handling and the establishment or defence of claims. Our standard retention approach is:
| Record | Normal retention period |
|---|---|
| Enquiries that do not become bookings | Up to 24 months after the last substantive contact |
| Accepted quotations, bookings, invoices, payment and accounting records | Up to 7 years after completion or the relevant financial period, unless law requires longer |
| Inspection notes, photographs, Reports and service communications | Up to 7 years after Report delivery |
| Complaint, incident, insurance or legal-dispute records | Until the matter and any applicable retention or limitation period have ended |
| Marketing preferences | Until opt-out or withdrawal; a minimal suppression record may be retained to honour the opt-out |
| Analytics and non-essential cookie data | According to the configured provider retention period, targeted not to exceed 14 months unless a longer period is justified and disclosed |
We may retain data longer where required by law, a legal hold, an active complaint, fraud prevention, an insurer or a competent authority. We may delete or irreversibly anonymise data earlier when it is no longer needed.
9. Security
Fedari uses reasonable technical and organisational measures appropriate to the nature of the data, including access controls, secure service providers, staff confidentiality, account protection, backups and restricted sharing. No internet, email, cloud or storage system can be guaranteed completely secure. If a personal-data incident occurs, Fedari will investigate and notify affected persons and/or the competent authority where applicable law requires it.
10. Your rights
Subject to applicable law and any permitted exception, you may request:
- Information about and access to your personal data;
- Correction of inaccurate or incomplete data;
- Erasure where the data is no longer lawfully required;
- Restriction or stopping of certain processing;
- Withdrawal of consent where consent is the basis used;
- Transfer of data where the applicable conditions are met; and
- Review of processing that relies on automated decision-making, where applicable.
Send a request to info@fedari.ae with enough information to identify the relevant record. We may request proportionate identity verification before releasing or changing personal data. We will respond within the period required by applicable law. If a request cannot be fulfilled, we will explain the lawful reason where required.
You may also submit a complaint to the competent UAE data-protection authority where that right is available. We ask that you first contact us so we can investigate promptly.
11. Marketing communications
Transactional messages about quotations, bookings, access, payment, Reports, safety or complaints are part of the requested Service. Marketing messages are separate. You can opt out using the method in the message or by emailing info@fedari.ae. Opting out of marketing does not stop necessary service communications.
12. Cookies and analytics
Essential cookies are used to operate the website and remember security or privacy choices. Non-essential analytics, including Google Analytics where enabled, must not load until the visitor has consented through the cookie banner.
Visitors can accept or decline analytics. A persistent “Cookie settings” link must allow the visitor to change that choice later. Browser settings can also restrict cookies, although blocking essential storage may affect website operation.
13. Third-party websites and communications
Our website may link to WhatsApp, payment providers, map services, social networks or other external services. Those providers process data under their own privacy terms. Do not send payment-card details, identity documents or other unnecessary sensitive information through ordinary email or WhatsApp.
14. Children
Our services are intended for adults and businesses arranging Property inspections. We do not knowingly collect children’s personal data through the website for marketing. If you believe a child has provided personal data without appropriate authority, contact us.
15. Changes to this policy
We may update this policy for future processing when our services, systems or legal obligations change. We will publish the new version and effective date on this page. A material change will be communicated where applicable law requires it.
